User Access Management

Viewing User Access

The 'User Access' page is accessible to all users and offers a clear overview of all individuals who currently have, or previously had, access to the portal. It includes details of users with active access, as well as those whose access has been revoked or suspended.


Dealership User Manager Role

Each dealership is assigned a Dealership User Manager who is granted special 'User Management' permissions in the portal. Their key responsibilities include:

  • Inviting new users to access the Buyback Portal for their respective dealership.

  • Assigning user roles within the portal, each with specific permissions.

  • Revoking access of existing users as necessary.

Upon the initial setup of a dealership in the system, a Dealership User Manager is designated and provided with access. Should there be a need to change the nominated Dealership User Manager, any user can submit a support case with the details of the new appointee.


Granting New User Access

The Dealership User Manager is responsible for inviting new users to join their specific dealership via the 'User Access' page. To initiate this process, the email address of the prospective user is required.


Upon invitation, the new user will receive an email with a link to the Vehicle Buyback portal. This invitation remains valid for 7 days; beyond this period, it will expire and cannot be used to create an account. The email includes a 'magic' link, which directs the user to a setup page. Here, they will create their profile by entering their name, mobile number, and choosing a password. Once their profile is established, they will gain access to the portal.


User Roles and Permissions

Upon invitation, each new user is assigned one or more specific roles that dictate their permissions within the portal. The available roles are as follows:

  1. Estimate Creator: This role represents the basic level of access necessary to use the portal. Users with the 'Estimate Creator' role can initiate new Vehicle Buyback agreements and calculate estimated buyback amounts. Additionally, they have general access to the portal's features.

  2. Agreement Submitter: This role is assigned in conjunction with the 'Estimate Creator' role. It empowers users to manage the entire process of a Vehicle Buyback agreement, from initiation to completion.

Sales Managers are generally assigned the 'Estimate Creator' role. This enables them to generate Vehicle Buyback Estimates and record basic customer details during interactions, functioning similarly to lead generation.
Business Managers often receive both the 'Estimate Creator' and 'Agreement Submitter' roles. This combination allows them to take over agreements that are in the estimation phase and advance them through to completion.
